Overview

With the latest update, the Travel Fees section in your booking flow has been redesigned to make setup faster and easier to understand. It is still configured on a per booking flow basis, but the process is now split into three steps, plus a live calculator that shows you exactly what a customer will be charged before you save your settings.

Where to Find It

1. Go to Configure Booking → Booking Flows.

2. Select the booking flow you want to edit and click Edit.

3. Scroll down to the Travel Fees section.

How Travel Fees Are Calculated

This part of the setup has not changed. Travel fees are calculated based on distance from an office location or photographer's home location.

Setting a Single Office Location

If all your photographers work from the same office, set that address directly in the Travel Fees section of the booking flow.

Setting an Individual Office Location Per Photographer

1. Go to Configure Booking → Scheduling, or simply click the link attached to the phrase "each photographer's settings" in the description section.

1. Edit the photographer's availability

2. Set their Home Base

That photographer's travel fee will then be calculated from their individual home base instead of the company office.

How Travel Fees Are Applied

Choose how travel fees are charged when multiple photographers are on the same order.

Per Photographer (Default)

A separate travel fee is charged for each photographer on the order.

• Two photographers on one order = two separate travel fees charged

Per Order

Only one travel fee is charged per appointment, no matter how many photographers are assigned.

• Two photographers on one order = one travel fee charged

Important: If you select Per Order, you must also choose who receives that fee. This will reflect on the reporting page:

• Split among photographers — the fee is divided between the photographers on the order

• Kept by the company — the fee goes to the company instead of the photographers

Setting Charge Tiers

This also works the same way it always has:

1. Set your mileage intervals

2. Set a base rate for each interval

3. Optionally add a per-mile charge on top

Using the Live Calculator

New: the Travel Fees section now includes a live calculator so you can confirm your tiers are set up the way you expect before saving.

1. Enter a sample mileage

2. Watch the car move along your configured intervals

3. Review the running total travel fee as it crosses each tier

4. Click Show More Detail for a full breakdown of how each tier contributed to the total

Example: With tiers set to $1 per km up to 50 km, then $2 per km up to 100 km, entering 70 km shows the fee building tier by tier until it reaches the full total of $90 for that distance.
